Destination Wedding Guest Cost
Enter the travel and stay costs one guest will face and the number of guests. The calculator returns the per-guest cost, the group total and how a subsidy splits it.
These are estimates built from your inputs. Flight and hotel prices change with season and booking date, so re-run the numbers when the dates are fixed.
Guests budget in private
A destination wedding asks guests to spend on flights, accommodation, meals and a gift, often without a clear total. Publishing an estimate helps them decide early and reduces late cancellations.
The couple’s costs are separate: venue, catering and the subsidy. A subsidy is a transfer, not a discount, so add it to the wedding budget as a line rather than treating it as money saved.
When a subsidy makes sense
Subsidising part of the guest cost can protect the guest list, but it scales with attendance. A fixed amount per guest is easier to budget than an open-ended contribution.
The calculator splits the total by the percentage you enter. If the subsidy is capped, compare the capped amount with the calculated share and budget the lower figure.
Frequently asked questions
Should the gift be included?
It is part of what a guest spends, even though the couple receives it. Include it if the goal is the guest’s total outlay.
How many nights should we assume?
The number the schedule requires, plus any night lost to flight times. Guests often stay longer than the wedding itself.
Is the subsidy taxable?
A contribution toward a guest’s travel is usually a personal gift, but treatment varies. Ask an accountant if the amount is significant.
